Executive Administration Officer
|
Do you thrive in a dynamic administrative role and enjoy supporting senior leaders?
Swanage Railway is looking for a proactive Executive Administration Officer to provide highlevel support to the CEO and Executive Team. You’ll help keep day-to-day operations running smoothly, support governance and strategic projects, and contribute to the delivery of our 2025–2035 Strategic Plan.
Key Responsibilities
- Manage diaries, correspondence, meetings, and travel for the Executive Team
- Prepare reports, presentations, and briefing documents
- Track actions from board and project meetings, ensuring progress
- Coordinate communications across staff, volunteers, and external stakeholders
- Support governance, statutory reporting, and document management
- Assist with recruitment, onboarding, and project coordination

Who we're looking for ...
- Experience in administrative, executive assistant, or coordination roles
- Highly organised, professional, and accurate
- Strong written and verbal communication skills
- Confident using Microsoft Office, Teams, and document management systems
- Discreet, proactive, and collaborative
Desirable
- Experience supporting senior leadership or governance bodies
- Understanding of charities, heritage organisations, or visitor attractions
- Project coordination or document workflow experience

Retail Officer

Do you love retail, heritage, and creating memorable visitor experiences? Swanage Railway is looking for a hands-on Retail Officer to take full ownership of our shops, on-train sales, and event retail. You’ll lead buying, merchandising, and stock control, support and roster volunteers, and ensure our retail operation reflects the Railway’s heritage, educational mission, and commercial goals.

Key responsibilities
- Lead the day-to-day running and performance of all retail outlets
- Deliver excellent customer service and a welcoming, professional visitor experience
- Manage stock, buying, merchandising and supplier relationships
- Plan and run retail for events & seasonal activities (Steam & Diesel Galas, Halloween, Christmas, etc.)
- Recruit, train, and support retail volunteers
- Monitor sales, analyse performance, and drive continuous improvement
- Ensure compliance with health & safety, safeguarding, and operational standards
Who we're looking for ...
- Experience in retail, hospitality, or visitor-facing roles
- Strong customer service and interpersonal skills
- Organised, reliable, and able to work independently
- Experience supporting volunteers
- Flexible approach to weekends, bank holidays, and event days
Desirable
- Supervisory or team leadership experience
- Heritage, tourism, or charity experience
- Understanding of retail performance, stock turnover, and margins
- Interest in heritage, education, or visitor attractions
Full-time - £30,000 per annum, weekends and events included
Location: Swanage, Corfe Castle, Norden, on-train & seasonal/pop-up outlets

Volunteer Fundraiser

The Swanage Railway is looking for highly effective fundraiser to raise capital funds, in line with its strategy, to ensure funding for major projects in order to sustain its future.
The successful applicant will need to have experience of major fundraising or marketing in a similar or larger organisation and ideally, be a member of the Institute of Fundraising.

DRAUGHTSMAN
Mick Stone fronts a professional group of volunteers including Civil Engineers, Environmentalist and Town Planner who try to assist the Railway with "Professional Services" type Projects.
The group would now value any help with draughting to a professional standard the plans etc which they have to manage. These can be anything from simple sketch plans to professional quality drafted plans for Planning Applications to the relevant external Authorities.
Anyone who is able to offer help is asked to contact Peter Milford Company Secretary, cosec@srstaff.co.uk in the first instance. Peter will forward details to Mick Stone.
There are a number of schemes for the Swanage site (and other zones along our leased Trackbed) where we wish to make improvements but desperately need to have basic plans to demonstrate to Management, Neighbours, Landlords and others the alternatives being considered.
